Travel and Hotel Arrangements

  • Schools should have submitted  the information about their selected students and teachers (main and reserve list), so the travel team can start checking transport and accommodation. 

    The travel team will contact you directly about travel and accommodation arrangements for the event. It is each school`s responsibility to ensure arrangements have been made with the travel team in advance of the event. 

    Schools located outside London (defined by the M25) are entitled to second class train tickets and one night`s hotel accommodation in central London before the event. Schools within the M25 must bear any travel and accommodation expenses themselves. 

    Train tickets will be issued to eligible schools directly by the European Commission`s official travel agency. The same agency will organise hotel and accommodation. 

    The travel agency will contact you directly to fulfil your requirements. It will reserve the hotel rooms and send you any train tickets via DHL. 

    Staff cover: we cannot contribute towards staff cover on the day. If your schools requires additional staffing for you to attend, these costs will need to be covered by the school. 

    A quick note that this year travel and accommodation (where applicable) is arranged and paid for by the travel agency; however any meal expenses, such as on the evening of 16th November, will not be covered. If staying in the hotel, breakfast will be provided, and lunch will be provided at the event. 

    If the travel agency is supplying you with travel tickets, when printing them at a machine at the station with the reference number, the machine will say that it requires the credit card that was used to purchase the ticket, however any credit card will do to print the tickets.
