TRANSNATIONAL PROJET MEETINGS

  • In the course of the project implementation, there will be 5 transnational project meetings completed by 9 online meetings
    Each transnational meeting will take place in the crucial stage of the project implementation, after the finalization of an important product or phase of the project, so as for the consortium to have the opportunity to discuss and analyze the activities done and set & coordinate activities which will be needed to be done afterward. They will play a key role, as apart from facilitating the development of the project outputs and defining the n.ext steps, they will support project monitoring, and provide an opportunity to strengthen the partnership, information exchange but also joint problem-solving. During every project meeting, the project management and financial issues (project timetable, reporting, communication, risks, financial issues) will be discussed. The progress in the implementation of the Promotion and Dissemination Plan, achievement of indicators, next promotional tasks, and activities will be presented, discussed, and agreed too. EUROSC will present the results of the quality control and evaluation based on which the project partners will make necessary decisions. Participants of the meetings will be employees of partner organizations responsible for the project implementation (project managers) and experts/ researchers and trainers involved in designing, developing, and testing of the project outputs, dissemination, and evaluation.
    At least one month in advance of the meeting, OIC Poland will elaborate the meeting agenda (with the support of the host partner) and minutes.


    KICK-OFF MEETING: At the beginning (2M), the Lead Partner will organize a kick-off meeting (PL) to agree on details of project management, time schedule, promotion and dissemination strategy, communication, evaluation, and reporting, and financial issues. The initial discussion will take place for all phases of the project implementation. The presentation on every output/phase will be prepared by each appropriate leader with the support of the coordinator and delivered by him. The meeting will be
    also devoted the main assumption of the first outputs and research phase defining the aims, tasks and activities, scope of the content, and time schedule.

    2nd TRANSNATIONAL MEETING will take place in Cyprus in the 7M and will be organized by EUROSC to discuss the developed content of the ICT tools (O1 and O2), and training programs of the O3 and O5, and the database of exercises and tasks of the O4. OIC will also present the expected possibilities and operational paths of the O1 and O2. The partners will define the assumptions for the development of the training materials/ content of the O3, O4, and O5, the next tasks, and deadlines.


    3rd TRANSNATIONAL MEETING will be organized by p-consulting in Greece in 14M, to present the possibilities and operational paths of the preliminary version of O1 and O2 to prepare the project partners for internal testing. The project partners will discuss the possibilities and features of the presented tools and propose the necessary improvements. The process of tools’ pilot testing (O1-A3, O2-A3) and normalization will be also discussed. The elaborated training content of O3, O4, and O5 will be presented by responsible partners for the official approval of all project partners. This
    approval will start the next stage of the development of e-learning applications to transfer the elaborated content of the O3, O4, and O5 into an e-learning environment. The project partners will define the timetable of the next activities. The 3rd project meeting will be also an occasion to discuss and define the selection criteria of trainers for joint staff training (C1). The overall methodology, structure, and draft program of the mobility (C1), and evaluation activities, will be presented and discussed.

    4th TRANSNATIONAL MEETING will be organized by Fondazione Paoletti in Italy in 21M. During the project meeting, each responsible leader will present the outputs (O1, O2, O3, O4, and O5). The consortium will discuss any issues raised regarding the current and upcoming piloting activities in each country, and define the fine-tuning methodology to be followed. The initial proposal will be derived from the responsible partner (Fondazione Paoletti) who will present the guidelines for pilot testing to prepare the project partners for the next activities and deadlines. The project partners will
    discuss the assumptions of the Exploitation Strategy.


    5th PROJECT MEETING will be organized by DAN-AT in Cyprus (30M) to summarize the results of pilot testing and discuss the necessary improvements of the project outputs (O1, O2, O3, O4, O5) as well as define the content of the user’s guides for the ICT tools. The project partners will discuss the last project activities and deadlines. The exploitation strategy will be agreed upon and approved by the project partners. Discussion and agreement will be made on the next exploitation tasks, final reporting and project closing.
